Propane Cylinder Exchange Policy
We provide on-site propane cylinder exchange only. Cylinders are not refilled and reinstalled. Your empty cylinder is exchanged for a full one, and your cylinder will circulate among our customers.
Because of this exchange system, all cylinders must meet safety requirements.
Cylinder Requirements
Your cylinder must be:
Within certification date
Free of rust
Free of damage
Requalification
If your cylinder requires requalification within 6 months of sign-up, a $45.00 requalification fee applies.
Damaged or Non-Compliant Cylinders
Cylinders with rust or damage may require replacement.

No Cylinders or Upgrades
If you do not have cylinders or want to upgrade sizes, contact us for available options.
Exchange Program Cylinders
Retail exchange cylinders (e.g., Blue Rhino) cannot be refilled by third parties.
These cylinders must be replaced before service.
Access
Cylinder Access Policy
To provide no-contact propane service, RV Gas Guys must have access to your propane cylinders at the time of delivery.
Safety Requirements
DOT and NFPA regulations require all propane cylinders to be unlocked and removable without tools or keys. In an emergency, fire personnel must be able to remove all cylinders, full or empty.
RV Access
We assume cylinders are accessible without keys. If your RV is in a gated space, access must be provided.
Gate codes must be supplied if required
Keys must be stored in an accessible location
Delivery Requests
Send us a text when you would like to schedule a delivery. deliveries will be completed within 48 hours.
If access is unavailable, we will attempt to contact you
If access cannot be obtained, delivery cannot be completed
You may still be required to pay delivery charges for dispatching a driver.
Alternative Access Option
If you prefer not to provide RV access, cylinders may be left in an accessible location.
Cylinders will be exchanged without installation
Replacement cylinders cannot be left if none are accessible
RV Gas Guys is not responsible for lost cylinders

Billing
Billing Overview
Your bill consists of two charges: Propane and Delivery.
Propane Charges
Propane is weighed and documented on-site. Weight is converted to gallons using 4.2 lbs per gallon. You are billed for total gallons used at the current market propane rate.
Example:
27.4 lbs ÷ 4.2 = 6.52 gallons × $2.96 /gal = $19.29
Delivery Charges
Delivery rates are based on your referral tier (Basic, Bronze, Silver, Gold, Diamond) as shown on our Pricing page.
Standard Equipment & Additional Charges
Delivery rates include standard RV equipment: two cylinders between 20–40 lbs.
Additional charges apply for non-standard capacity:

100 lb cylinders: $3.00 each

More than two cylinders: $2.00 per additional cylinder
Running Out of Propane
If you run out of propane and request an emergency delivery, a separate expedited delivery fee of $10.00 applies.
If this occurs frequently, please contact us to discuss capacity upgrade options.
Invoicing & Payment
Auto Pay
Invoices are issued within 24 hours of delivery, if you are enrolled in auto-pay the card on file is automatically charged, and invoice will be sent to your email or phone number on file.
If payment is declined, immediate resolution is required. Late fees may apply.
Manual Invoicing
Invoices must be paid within 6 consecutive days of service. If an invoice is past due at the time of a scheduled delivery, service will not be completed until payment is made.
Late Fees & Non-Payment
Invoices unpaid after 6 days accrue late fees of $8.00 per day.
If an invoice remains unpaid for 30 days, the card on file will be charged for propane used and initial delivery fees. Late fees remain due, and service is suspended until the balance is paid in full.
